2017 Gourmet Food & Wine Garden Party


Invitation to Exhibit

The ANZCCJ Food, Agriculture and Hospitality Committee (FAHC) invites you to exhibit at this year’s Gourmet Food and Wine Garden Party scheduled for 25 September 2017 at the Australian Embassy Tokyo.

The Gourmet Food & Wine Garden Party is one of the ANZCCJ’s signature annual events. Last year the event attracted over 300 guests and 21 exhibitors. The aim of the Garden Party is to showcase the high quality of Australian and New Zealand premium food and beverage available in Japan with a focus being placed this year on organic food and sustainable produce.

Exhibitors at this year’s event will be ANZCCJ member restaurants and/or hotels presenting menus featuring Australian and New Zealand gourmet organic and sustainable products.

Organic food is the product of a farming system which avoids the use of man-made fertilisers, pesticides; growth regulators and livestock feed additives. Sustainable agriculture is the production of food, fibre, or other plant or animal products using farming techniques that protect the environment, public health, human communities, and animal welfare.

Japan-based importers of Australian and New Zealand gourmet food and beverages are welcome to collaborate with restaurants to present a gourmet dish at the event.

Guests are expected to be senior executives from the ANZCCJ membership, Japan Chamber of Commerce and Industry membership, their guests and media.

The event is co-hosted by the ANZCCJ Food, Agriculture and Hospitality Committee (FAHC) and the Japan and Tokyo Chambers of Commerce and Industry (JCCI & TCCI). 


BENEFITS OF EXHIBITING

  1. Financial support of JPY 80,000 per booth (one restaurant and its partners, maximum six – eight restaurants). Financial support of JPY 20,000 for wine/beer exhibitors.
  2. Opportunity to place product leaflets at the registration desk during the event
  3. Branding exposure:
  • Event page with hyperlink to your website and a 40 word description of your restaurant/products
  • On-site pull up banner or other promotional materials at your booth 
  • Company promotion via ANZCCJ social media channels (Facebook, Twitter)

Booth Details (Restaurants)

[Booth set up]

  • 2 – 3 x tables (H700mm × L1800mm x W600mm)
  • 1 x chair

[Kitchen – B2]

  • Water, ice, fridge, wash area available in Embassy kitchen
  • Wine glasses will be provided by caterer
  • Individual serving plates and utensils will be provided by ANZCCJ

[What to bring]

  • Promotional material, banners, posters
  • Additional lighting (optional - desk type or stand, LED*)
  • Table cloths, Cooler boxes (as required)
  • Display plates (serving plates / cocktail glasses will be provided)

[PLEASE NOTE]

  • Booth location will be allocated randomly by ANZCCJ
  • Please refrain from using sound equipment such as speakers at your booth

Deliveries & other logistics

[Promotional material]

Please clearly label all packages sent to the Embassy beforehand. Delivery must be set for Monday 25 September morning (refer to sample below). Print out attached labels for ease of identification and to avoid misplacement of your material.

[Food samples]
The large Embassy refrigerator inside the B2 kitchen will be available for exhibitor samples and display products that require refrigeration. ANZCCJ staff will be at the Embassy on Monday 25 September morning to place products in the refrigerator.

Please ensure you clearly label boxes with products that need to be placed in the refrigerator (print out attached labels for ease of identification by ANZCCJ staff and to avoid misplacement of your products) and have products delivered on Friday 22 September morning.

[List of packages and courier information]

All deliveries need to be registered with the security guards at the Australian Embassy. Please submit details of the number of boxes and the courier company that will deliver your products to the Secretariat at info@anzccj.jp by Friday 22 September.

[Parking]

Unfortunately, there is no parking in the Embassy compound available for exhibitors/staff, but you will be able access the B2 parking area or the main gate to drop off food, drinks, glasses, equipment etc. from 2PM.  After the event, your vehicles will be able to pick you up from B2 parking area from 8:30 to 9:00pm. If you wish to access B2 parking area for dropping off/picking up your items, please send us the following information by 1 September.  

  1.  Car plate number
  2.  Vehicle type
  3.  Driver’s name 
  4.  Please also send us a full list of staff who will need access on the day of the event.


Please note we need to send this information to the Embassy for security purposes – unregistered vehicles and persons will not be able to access the Embassy.

[BBQ Grills]

In addition, exhibitors who will be using a BBQ grill and/or B2 Kitchen gas stove will be required to clean the grill /stove after use. If cleaning is not completed, you will be charged a cleaning fee of JPY 20,000 per grill/stove.

 

[Cleaning/Garbage disposal after the event]

Please also note that the Embassy requires exhibitors to take back any burnable rubbish back with them. Bottles and cans can be left in the B2 garbage collection area.  We will have three catering staff available on the day to help you pack up as soon as the event has ended (8:30pm).  We need to be out of the Embassy by 9pm.
